Index addresses!
After you have started Outlook®, our Chilibase® "Indexing Assistant" appears. We advise you to check the box "Start indexing in the background now". This way all your e-mails, contacts, appointments and tasks from Outlook will be indexed with Chilibase. Your data is only mirrored and not copied.
Therefore you can be sure that it stays protected and untouched. Depending on the size of your Outlook account, this process can take a couple of minutes. (Please note, without indexing you will not be able to use Chilibase.) In this first step, a list is created of all e-mail addresses your Outlook contains, whether you have received an e-mail message from a person, made an appointment with this person or created a contact for this person. The indexing by Chilibase summarizes all e-mail addresses a person uses under his or her name. That way, later you do not need to summarize people in the PersonPanel.
What has been added to Outlook?
After indexing your Outlook data you will see the “PersonPanel by Chilibase” at the bottom left. PersonPanel shows a list with the people within your entire Outlook communication. The bar shows you how relevant a person is. You can fill in your own descriptions in the respective column. In the Outlook toolbar you will also find the Chilibase menu for further functions and information regarding your version.
Arrange the PersonPanel!
You will find the “Person Panel Position” button in the Chilibase menu. It allows you to arrange the position of the PersonPanel bar. It is preset at the bottom left below the Outlook navigation bar. But you can move it as you like: for example, below your e-mail preview, or above or below your inbox. All you need to do is check the respective box.
Set up the PersonPanel!
While indexing, Chilibase has already summarized the different e-mail addresses assigned to one person. One example: john.doe@yahoo.com and john.doe@msn.com will be filed under one person—for that, Chilibase picks the indicated name John Doe and files both e-mail addresses under it. If you have another e-mail address of this person in your list which according to Chilibase`s logic could not be added to John Doe, mark it and cut&paste it (right-click on the name) in the context menu or simply merge it by drag&drop with John Doe.
With a right-click on a person and the function "Properties" you can add a description, such as company or department names! With a click on the column head "Description" the PersonPanel re-arranges and allows you to see all employees of one department at one glance. You can also change the name of a person with the properties function if you have not already created a contact for this person in Outlook.
Retrace a conversation!
With Chilibase you will never have to create folders again! Chilibase automatically lists the people you have been in contact with via Outlook. Choose one person and double-click it. Your e-mail Outlook bar will now display the complete communication and all appointments made with this person. If you click "show from" instead of "show all", you can refine the search result. This way, you can only view the messages from this person to you. If on the other hand, you chose "show to" you will get all messages you sent to this person. And you can easily view group communication: select the respective contacts in the PersonPanel by holding the CTRL-Key and clicking on "show all".
Understand and use the ranking!
The red bar in the PersonPanel depicts the ranking. This function displays the relevance of involved contacts within a specific context. For example, you will generate a new ranking each time you click on a different message in your inbox, placing the most important contacts for the marked message on the top position—the further down the person is listed, the less importance the contact has for the context. How does this work? The contacts contained in the messages are listed first and are marked blue for a better overview. After that, the contacts follow who have been in contact, are involved in the project or belong to the same department—the possibilities are numerous. And the ChiliRank technology searches and evaluates all these possibilities to generate your overview. This way you can see dependencies and find contacts faster.
On demand you can mark yourself as "me" by right-clicking your name on the context menu. This way you can exclude yourself over the Chilibase menu in the tool bar. As you will always appear one of the top positions of the ranking, by excluding yourself you eliminate a distraction. If you would like to find out who the most relevant contacts are for you with regard to your complete communication, just activate the row "Importance" in the Chilibase menu. And with the function "Rank related persons for..." you will find out about dependencies of your contacts. All you need to do is right-click on the person and chose this function. The PersonPanel re-sorts itself and you will quickly find out in which group, department or circle of friends the person belongs to.
Search in different Outlook stores!
Many Outlook users have several PST-files (personal folder files) or additional archives or exchange stores. Chilibase indexes itself with all stores of your Outlook account. If you are looking for a person, e-mail or content you will only be able to find it in the store the person or e-mail is in. If you let Chilibase show you all e-mails of one person via the function "show all" and you do not get a result, the reason might be that you have not switched to the respective store in the Outlook navigation bar. Click on the store in which you would like to search and choose the requested function in the PersonPanel.
Use contacts effectively!
The PersonPanel allows you to see and edit contacts easily. A person with an Outlook contact is flagged with an envelope. With a right-click, the context menu opens and with the button "show contact", Chilibase displays the Outlook contact for this person. If a contact for this person does not exist yet, Chilibase will facilitates the creation of a new contact: Just right-click the person and click on "add new contact". The contact store menu of Outlook will open and the existing data of the person will already have been added to the respective fields. Would you like to know when you have communicated with this person the last time? All you need to do is check "last contact" in the PersonPanel!
Write e-mails faster!
Chilibase not only helps you search, but also enables you to send e-mail messages faster: right-click the respective person you wish to send an e-mail to and the click on "mail to". The standard Outlook window will open and the address will already be placed in the recipient field. That’s how easy it can be!
